Third party submissions

The AskQM Frontline Team is able to support requests for a range of graduate documents to be submitted to third parties on your behalf. This page will guide you through the process.

Throughout your studies and beyond into your professional career, you may be asked to enquire with us about how your documents may be sent onto another institution, organisation or employer.

Requests are managed via AskQM on behalf of Registry Services. The team can submit documents to third parties and, where required, include additional wording to confirm specific details. All third-party submissions must be paid for via the QMUL Eshop. Please note that we cannot submit degree certificates on your behalf, as only one certificate may be in circulation at any one time.

Please be advised, you must be awarded to receive an award letter, final transcript or graduate documentation more broadly. If you are not eligible for this, your order may be refunded for you.

This list is not exhaustive and we can support additional external submissions where required. The guidance below outlines how submissions work, what information may be required, and how to provide any supplementary documents.

World Education Services (WES)

World Education Services (WES)

There are two methods that Queen Mary graduates can use to share their documents with WES. Please read the guidance below and choose one option.

For MBBS graduates, please contact your school to request this service.  For Research students, please contact the Research Degrees Office.

1. Send your transcript via email

Queen Mary University of London and World Education Services (WES) have an established process through which digital copies of transcripts can be sent directly to WES. A WES Academic Records Request form is not required.

Please follow the instructions below:

  • Order and pay for your Digital transcript via the QMUL Eshop
  • In your order (under “Additional Information Required”), state that your transcript is to be sent to WES and include your WES reference number
  • We aim to process your order within 10 working days; documents will be sent to submit@wes.org and your email address will be copied in

2. Share your transcript via Gradintelligence (HEAR)

Please check that you are HEAR eligible.

Your HEAR Reports are stored on the Gradintelligence platform and can be shared directly with WES without further verification.

The procedure is as follows:

    • Log into your Gradintelligence account
    • Select “Share” next to your chosen document.
    • This will take you to a ‘Share Document’ screen. Complete each field to specify the share parameters and recipient information, then click ‘Continue’.
    • When sharing your HEAR, you will see a small text box labelled ‘message to recipient’ which will accompany your HEAR. Please ensure you enter your WES number here

Law School Admissions Council (LSAC)

As part of the LSAC process, Queen Mary University of London can send LSAC a copy of your hardcopy transcript, along with a cover form (called "Transcript Request Form") which LSAC provides.

Please follow the instructions below: 

  1. Make sure you have an electronic copy of LSAC's "Transcript Request Form" with your personal details and LSAC account number on it (LSAC should provide this). 
  2. Order and pay for your Hardcopy transcript through our EShop page
  3. In your order (under "Additional Information Required"), please state that your hardcopy transcript is to be sent to LSAC, include your LSAC reference number and state that you will submit an enquiry through AskQM with the “Transcript Request Form”.  
  4. Once your order has been completed, please submit an enquiry through AskQM with a copy of your LSAC "Transcript Request Form" attached and include your order number (beginning with "QML") in the email.
  5. We aim to process your order within 10 working days; all LSAC orders will be sent to the address below in a hard back envelope with a stamp/seal across the flap of the envelope.

Please check that you are HEAR eligible should you wish to use this option. 

Your HEAR Reports are stored on the Gradintelligence platform, these can be shared directly with LSAC and not require further verification from the Queen Mary University of London. 

The procedure for sharing your document is as follows:  

  1. Log into your account via the Gradintelligence platform.
  2. On the homepage, you will need to select the ‘Share’ option next to your chosen document. 
  3. This will take you into a ‘Share Document’ screen. Complete each field to specify the share parameters and recipient information and click ‘Continue’.  
  4. When you wish to share your HEAR; you will note there is a small box of text to enter a message - ‘message to recipient’ - that will accompany your HEAR. Please ensure you enter your LSAC Reference Number here.

  • Sometimes LSAC requires a letter of good standing or a breakdown of your course modules.

Please follow the instructions below: 

  1.  
  • Your department will need to write this for you and send it directly to LSAC.
  • Please request this directly from your department; the AskQM Frontline Team does not produce or send this to LSAC. You can find a list of relevant contacts either on the contact page of your Academic School’s webpage or via the list of Student Support Officers.
  • LSAC may also ask you to provide your degree/class ranking or a written statement clarifying that Queen Mary does not provide this. Queen Mary does not provide students with degree/class rankings; however, we can add an additional sentence to an Award Letter to clarify this. Please include this request in your order (under "Additional Information") if required.

New York Bar (NY Bar)

If you are applying to the New York State Board of Examiners for the Bar Examination (BOLE), the AskQM Frontline Team can send the documents below directly to the New York State Board of Examiners for the Bar Examination (BOLE) for graduate students.

1. Send your award letter and academic transcript

If you completed an LLB, we will add the additional sentence to your award letter: "I can confirm that the Queen Mary University of London LLB fulfils the academic educational requirements for admission to the practice of law in England and Wales." Please note that there are no additional sentences for LLM graduates.

Please follow the instructions below:

  • Order and pay for a hard copy graduate pack through our EShop page.
  • In your order (under "Additional Information Required"), please state that this is to be sent to NY Bar and include your BOLE ID number.
  • We aim to process your order within 10 working days. All NY Bar orders will be sent to the address below in a hard backed envelope with a stamp/seal across the flap of the envelope.

The New York State Board of law examiners, Corporate Plaza, Building 3, 254 Washington Avenue Extension, Albany, NY 12203-5195, USA 

2. Send the Application for Admission to Practice (State of New York) form

The AskQM Frontline Team can assist with completing and sending the form titled "Application for Admission to Practice as an Attorney and Counselor-at-Law in the State of New York". We can complete this form and send it directly to NY Bar.

Please follow the instructions below:

  • Make sure you have an electronic copy of the form and have completed the section “To be completed by Applicant”.
  • Order and pay for Postage through our EShop page.
  • In your order (under "Additional Information Required"), please state that this is for the NY Bar, include your BOLE ID number and state that you will submit an enquiry via AskQM with the “Application for Admission to Practice” form.
  • Once your order has been completed, please submit an enquiry via AskQM with a copy of your “Application for Admission to Practice” form attached and include your order number (beginning with "QML") in the enquiry.
  • We aim to process your order within 10 working days. The form will be sent to the address stated on the form in a hard backed envelope with a stamp/seal across the flap of the envelope.

3. Any other requests for NY Bar

The New York Bar may require a written statement, signed and submitted directly to the Board by Queen Mary, confirming that you attended your course and outlining all courses completed online or by distance education and all courses completed by regular classroom attendance.

Please follow the instructions below:

  • Your department will need to write this for you and send it directly to NY Bar.
  • Please request this directly from them; the AskQM Frontline Team does not produce or send this to NY Bar. If you studied an LLB, your department is the School of Law. If you undertook an LLM, your department would be the Centre for Commercial Law Studies.

National Committee on Accreditation (NCA)

There are two methods that Queen Mary graduates can use to share their documents with NCA, please read the guidance below and choose one option.  For MBBS graduates, please contact your school to request for final transcripts and award letters to be sent. For Research students, please contact the Research Degrees Office.

As part of the NCA process, Queen Mary University of London can send NCA a copy of your hardcopy transcript. 

Please follow the instructions below: 

  1. Order and pay for your Hardcopy transcript through our EShop page. 
  2. In your order (under "Additional Information Required"), please state that your hardcopy transcript is to be sent to NCA and include your NCA reference number (if you have one).  
  3. We aim to process your order within 10 working days; all NCA orders will be sent to the address below in a hard back envelope with a stamp/seal across the flap of the envelope.

Hellenic National Academic Recognition Information Center (DOATAP)

After you have applied to DOATAP, they usually ask Queen Mary University of London to send them electronic copies of your Degree Certificate, Location of Studies Form and Transcript.

The AskQM Frontline Team can email your documents to DOATAP. For MBBS graduates, please contact your school to request for final transcripts and award letters to be sent. For Research students, please contact the Research Degrees Office.

Please follow the instructions below: 

  1. Order and pay for a Digital transcript through our EShop page. 
  2. In your order (under "Additional Information Required"), please state that your Digital Transcript is to be sent to DOATAP and state that you will submit an enquiry via AskQM with a copy of your Digital/Scanned Degree Certificate and any form you have been given by DOATAP to complete.
  3. Once your order has been completed, please submit an enquiry via AskQM with the following: a copy of your Digital/Scanned Degree Certificate, any form you have been given by DOATAP to complete, and include your order number (beginning with "QML") in the email.   
  4. We aim to process your order within 10 working days; all DOATAP orders will be sent to protocol_a@doatap.gr and your email address will be copied into the email for your reference. 
  5. The email to DOATAP will include your Digital Transcript, Copy of your Digital/Scanned Degree Certificate and Location of Studies Form (which includes a statement confirming that the named student completed a course at Queen Mary University of London, UK and at no other campus. We will check your Scanned/Digital Degree Certificate against our records and confirm its authenticity in the email to DOATAP. 

Further Third Party submissions

When submitting to any other submission service or institution, please read the guidance below. For MBBS graduates, please contact your school to request final transcripts and award letters to be sent. For Research students, please contact the Research Degrees Office.



Submitting documents to other institutions

Please follow the instructions below: 

  1. Order and pay for the required documents via our EShop page.
  2. In your order (under "Additional Information Required"), please include any relevant information. You will need to provide a full address with the telephone number of the recipient you would like this sent to, plus any reference numbers you would like quoted. If you need an additional form completing and sent with your documents, please state that you will send this to reply@ask.qmul.ac.uk
  3. If you need additional forms completing and sending with your order, please then send an email to reply@ask.qmul.ac.uk with the form/s attached and include your order number (beginning with "QML") in the email. 
  4. We aim to process your order within 10 working days. 

Correspondence via AskQM

Students who need to contact us about third party submissions should log a case via AskQM. When submitting an enquiry, please select the category ‘Studying at Queen Mary’ and the subcategory ‘Official Letters’.

Please note that digital documentation orders will be sent from the address reply@ask.qmul.ac.uk.

Documents sent from reply@ask.qmul.ac.uk are authentic and have been produced by Registry Services, Queen Mary University of London.

Please be aware that verification of awards and documentation is still managed via the Hedd Portal, and instructions on how to submit these requests are available on our Hedd Portal webpage.
